We are currently seeking a Probate and Trust Administration Paralegal (PTAP) to join our team in a hybrid capacity, with the potential for remote work. Compensation and Benefits

  • Pay Rate: \(22 - \)26 (Dependent on Experience)
  • 40 Hours / Full-Time, Monday – Friday, 8:00 AM – 5:00 PM
  • Non-exempt employment status

Responsibilities

  • Assisting with all aspects of probate and estate administration from start to finish.
  • Supporting trust administration processes from initiation to closure.
  • Preparing probate documents with minimal direction from the attorney.
  • Maintaining a calendar of court pleadings and deadlines.
  • Communicating with clients, financial institutions, and beneficiaries to gather necessary information.
  • Responding to client inquiries via email or phone in a timely manner.
  • Preparing necessary documents for the transfer of securities.
  • Filing claims for insurance proceeds and death benefits.
  • Preparing accounts for estate administration or trust accounting.
  • Corresponding with the Probate Court as needed.
  • Handling incoming calls from clients and the Probate Court regarding cases.
  • Promptly addressing client requests and calls.
  • Keeping accurate time records.
  • Managing all aspects of estate administration, including asset identification and collection, maintaining estate bank accounts, tracking expenditures, and distributing assets to beneficiaries.
  • Preparing Receipt and Release Agreements.
  • Acting as a liaison between attorneys, clients, accountants, brokers, financial planners, and appraisers.
  • Calculating filing fees and fiduciary commissions.
  • Obtaining asset valuations.
  • Dividing assets and funding trusts/bequests.
  • Balancing checkbooks and brokerage accounts.
  • Assisting clients in locating appropriate appraisers for real estate or personal property.
  • Contacting necessary companies to close any remaining accounts and credit cards.
  • Coming to team meetings prepared to discuss the status of open files.
  • Tracking client-advanced expenses for reimbursement.
  • Drafting letters to creditors in cases of estate insolvency.
  • Following up with creditors to settle debts or confirm that balances have been written off.
  • Scanning and organizing all estate/trust administration documents in electronic files.
  • Preparing mailings as needed for the estate/trust administration process.
  • Performing other duties as assigned.

Qualifications

  • College Degree and/or Paralegal Certificate.
  • 2-5+ years of experience in New Hampshire and Maine probate and trust administration.
  • A background in banking or finance, particularly with banking documents, retirement accounts, and investment documents, is advantageous.
  • Notary Public certification is a plus.
  • Ability to work collaboratively within a team.
  • Professional dress and communication skills.

Education Requirements

  • College Degree and/or Paralegal Certificate.

Education Requirements Credential Category

  • Paralegal Certification or Degree in a relevant field.

Experience Requirements

  • 2-5+ years of experience in probate and trust administration, specifically in New Hampshire and Maine.
  • Experience with banking documents and financial records is preferred.
