This is an on-site role in Santa Clara, CA, with compensation based on market data and experience, with a salary range of \(120,000 - \)162,000 per year. Additional compensation may include bonuses, equity, and benefits.

Responsibilities

  • Manage a complex executive calendar, ensuring efficient time allocation and seamless scheduling
  • Coordinate meetings, resolve scheduling conflicts, and prepare necessary materials
  • Organize detailed travel arrangements, itineraries, and logistics
  • Monitor and manage the CEO’s email inbox, prioritizing critical messages
  • Draft, review, and refine correspondence, ensuring clarity and professionalism
  • Act as a key liaison for internal and external stakeholders
  • Plan and organize meetings, ensuring agendas and materials are well-prepared
  • Oversee logistics for both internal and external meetings, including off-site events
  • Track and follow up on action items to ensure timely completion
  • Assist in tracking budgets and managing financial reports
  • Work with the finance team to reconcile and process expenses
  • Oversee light office management tasks, including supply management and vendor coordination
  • Serve as the on-site point of contact to ensure a smooth office environment
  • Partner with the CEO on key initiatives, conducting research and preparing presentations
  • Anticipate needs and proactively support executive priorities
  • Drive special projects and ensure key deliverables are met

Qualifications

  • 7-10 years of experience as an Executive Assistant, preferably supporting C-level executives
  • Experience in office management is a plus
  • Bachelor’s degree or equivalent experience required
