The position involves a wide range of administrative tasks such as assisting with tax returns, managing billing processes, and overseeing firm management systems. Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with Adobe Acrobat and CS Practice is a plus

Responsibilities

  1. Tax Return Support:

    • Assist with preparation and filing of tax returns.
    • Coordinate tax return schedules and manage deadlines for the team.
    • Ensure timely filing of extensions and maintain accurate tax return databases.
  2. Team Support:

    • Provide direct support to the team by handling tasks such as copying, scanning, mailing, and organizing documents.
    • Communicate with clients and vendors to schedule meetings both in-person and virtually.
    • Assist in setting up new client files and preparing engagement letters.
  3. Firm Management System (CS Practice):

    • Manage client and project information in the firm’s practice management system.
    • Ensure up-to-date client databases and documents are organized and securely saved.
    • Collaborate with the team to ensure smooth processes across both locations.
  4. Billing and Accounts Receivable:

    • Prepare and send invoices, track Work in Process (WIP), and assist with billing inquiries.
    • Manage Accounts Receivable, ensuring timely payments and follow-up on past-due balances.
    • Assist with remote deposits and monitor bank transactions.
  5. Additional Administrative Support:

    • Provide front desk backup, including greeting clients, answering phones, and scheduling meetings.
    • Actively contribute to maintaining a positive, collaborative team environment.
    • Ensure all tasks are completed in a timely manner and meet deadlines.
  6. Other Responsibilities:

    • Participate in ongoing training and seek professional development opportunities.
    • Support community engagement efforts through company-sponsored volunteering programs.
    • Maintain confidentiality and demonstrate a high level of professionalism.

Qualifications

  • A degree in business or a related field is preferred, but not required.
  • At least one year of administrative assistant experience is preferred.
  • Ability to work additional hours or weekends as needed.
  • The applicant must be based in Oahu, or willing to relocate (please specify relocation plans in your cover letter).
